Photo Studio Manager Help
Installation and setup
Using Photo Studio Manager requires Microsoft SQL Server 2008 R2 Express installed and configured correctly on Windows XP.
For Windows 10 and up use Microsoft SQL Server 2017 Express.
Download and install Microsoft SQL Server if you haven't done already so.
When starting Photo Studio Manager for the first time an error dialog will pop-up saying that no database has been found for the given database name.
Click on "Create new database now" and follow the instructions to create a new database for Photo Studio Manager. The default parameters should be ok, you just need to click on "Create Database".
If everything went smooth a new database will be created in the specified folder.
If Photo Studio Manager has started ok, click on menu: "Options/Settings..."
Browse through the list on the left and set up everything as you prefer. The only thing you should change for sure is the "Photo Studio Details" page.
Fill in your Photo Studio Details, in the last "additional field" you should enter the VAT number of your company that will appear on the printed orders.
On the Printing page specify your company logo and you can also specify additional text that will appear on the printed orders.
Close the settings window after you are finished.
To create an order the items list needs to be filled up. Click on menu: "Options/Edit Item Types...", a new window will pop-up in which you can, using "Add.." button, add new items that the customers can purchase.
Items specified here will be displayed on the order page from which you can select them.
Close the window after you are finished.
Now click on menu: "Options/Edit Expenditure Item Types...". Here you can add your expenditure items which will appear on the Expenditure page, which you can add to the database.
That's all! Now you are ready to use Photo Studio Manager.
Quick tutorial for using Photo Studio Manager
After Photo Studio Manager has been set-up properly, it is ready to accept data.
First you need to enter a customer's details on the, first, "Customers" page.
To add a new customer at least the "Name" field must be filled in.
After filling in the details click on the "Add" button in the bottom-right corner.
You can update the details any time by filling in the fields and clicking "Update" in the bottom-right corner.
"Clear" clears the fields, it does not delete a customer from the database!
To delete a customer from the database click on the customer in the list and click right mouse button, and select "Delete Customer...".
If you have a returning customer, you just enter it's name, in the "Name" field, (or any other detail) and click "Search". Then select the customer on the list.
Click on the customer on the left list and click the "Orders" button on the top of the window. You always have to have a selected customer to add an order.
Specify Quantity and Due Date (or click on "Today"), select "Completed" or not and click "Add" to add a new order.
Select the new order and on the lower half of the window you can add items that the customer wants to purchase. Specify the details and click "Add" to add an item.
When you are finished and want to print the order, click on "Print" on the upper half of the window to print the order.
In the Content Manager the order's photos for example can be managed for the currently selected order.
You always have to select an order to edit or see it's content.
Create a category and you can add photos or videos to that category.
You can for axample crate a "Drafts" category and store all the photos for the specified customer in that category that you can find quickly when you need it.
The files are stored on the hard drive in the folder specified in settings (click on "Open Content Folder..." to open the content folder).
The files can be sorted by draging the thumbnails from one category to another, or by right clicking on the thumbnail and selecting menu: "Move Selected Items To >".
Middle mouse clicking on a thumbnail brings up the file's context menu.
On Windows Vista and 7 video thumbnails are also supported.
On the Expenditure page you can manage your photo studio's expenditure. The usage is the same as described in the Orders page above.
To add a new expenditure item, use the menu: "Settings/Edit Expenditure Item Types...".
On the Reporting page reports can be generated for ordered and for expenditure items.
You can also select a date interval to generate a report for a given interval only.
After you have generated a report, you can print it out if you want.
On the Charts page you can generate and print charts for ordered and expenditure items the same way as on the Reporting page.
Unregistered version of Photo Studio Manager is a 25 day trial version. After 25 days no new customers and orders can be added to the database.

Localizing the printing for a language
Not all languages are supported for printing orders/invoices and reports. If you want to customize the printing for your language follow the following steps.
Go the the folder where you installed Photo Studio Manager (default: C:\Program Files\Photo Studio Manager\) and go into folder named "Languages".
Make a copy of "English.txt" file as for example: "Russian.txt".
Open the new "Russian.txt" file in Notepad (or any other text editor that supports unicode) and change all the lines to you language which does not start with the "#" character.
Be careful to keep the lines in order! Save the changes.
Start Photo Studio Manager (or restart if it was already running), and go to Settings/Printing Options and the new language should show up on the "Printing language" list.
Select the new language and click "OK" to save the changes.
Print an order/invoice and check that you have correctly translated the language strings.
Problem with printing
It seems that there are problems with printing some times. There's a solution that seems working:
Add a new printer in the Windows Control Panel. For example the "Xerox 3006". When addig a new printer select "File" as the output mode.
Make sure to set you real printer in Windows Control Panel as your default printer!
